Supervisors in nearly every kind of company require written reports from staff members from time to time. The reports range from brief status reports on various projects to extensive reports concerning important corporate matters. Creating an annual report can be a daunting task, especially for those new to this challenge.

At the end of the year, many of us may need to write annual reports. To write an annual report to your boss, you have to ensure that the information is accurate and easily understood. XMind, the most popular mind mapping software, helps produce a report your supervisor will appreciate as informative and useful.

Choose a structure

XMind offers multiple amazing structures to help business elites improve efficiency. Fishbone Chart can be used to visually organize causal relationships among complex ideas/events. Matrix makes the in-depth comparative analysis for project management possible. Org Chart easily presents an overview of an organization. Timeline, which helps track milestones and schedules in chronological order, will be your best choice for writing an annual report.

Create a section for each quarter

To start writing your annual plan, XMind offers a template “Annual Report” to help you get started quickly. Or you can also start from creating a blank mind map. When I wrote my annual report, I simply opened a blank mind map with the Timeline structure and entered the subject of my mind map into the central topic. With the Enter key I quickly created 4 main topics for each quarter (I always divide my annual plan into 4 quarters).

In the section Quarter 1, I divided it into 4 parts to keep my report clear and organized. All detailed information were listed as subtopics. The automatic numbering feature helps me organize my topic lists easily.

Conclude the report

After I finished my annual report, I concluded my report by adding an annual summary. Since I didn’t want my report to be messed up, I inserted a note to my annual summary topic. In the note, I can enter as many texts as I want to.

Add basic info

At the top of my report I created a floating central topic by clicking “Insert – Floating Central Topic” to write down the basic information of this report, such as the date, report title, my name as the report writer. Floating central topic is somewhat the same as the Central Topic. With the floating central topic I can quickly create as many topics as I want and change the map structure easily whenever I want to.

Share the report

Everything was done and I just needed to click the Share button and shared my annual report with my boss. With XMind, communication becomes easy and simple.

Export the report to Office/PDF

What if your boss doesn’t use XMind? Don’t worry! XMind supports exporting your fruit of work to Office/PDF instantly to facilitate your report. The export options range from Word, PowerPoint, Excel, PDF, RTF, HTML, Plain Text, to PNG, JPEG, GIF, BMP, SVG, etc.
